Sending a Proforma Invoice
Please Note
The option to send a Proforma Invoice depends on the customer's settings.
The process consists of five steps:
To begin, enter the "Send Proforma Invoice" module from the main menu.
1) Select your customer, and load your invoice image on the right side of the screen.
If the customer name is not displayed, click on the option "Find more customers" and search for the customer.
Pay Attention
The invoice image must be an original invoice or certified copy.
The digital signature password field will always be automatically filled out for you, so there is no need to make updates to this field.
When finished, click on "Sign" under the digital signature password field.
2) Select the original document on which the invoice is based in part A, and enter the order number in part B. If requested by the customer, enter the shipping notification number as well.
When finished, click on "Next".

- Sections A and B are automatically filled out for you, but we recommend double-checking that this data is correct.
- Fill in the invoice data in section C.
- Select the order currency and the tax currency in section D (according to the original document on which the invoice is based).
When finished, click on "Next".
4) All of the lines from the original document are displayed on this screen. If you want to send an invoice for specific lines or edit the data in the lines, such as quantity of an item, click on "Edit lines" and update the relevant data.
When you are finished updating the invoice lines, click the "Save" button on the bottom-right hand side of the pop-up screen.
Please check that the amount shown on the bottom-right side of the screen is correct.
The amount shown next to "Total Due After Tax / VAT" should be equal to the total amount on the invoice image.
5) Add any additional comments you would like to submit with your invoice. If the customer makes this section mandatory, it will be marked as a required field.
When finished, click "Approve and Send".
